How to Retrieve Order Totals
Instructions for retrieving order totals for account reconciliation or accounting for your studio or business.
Login to richmondprolab.com with your email address and pin
Click on your account number in the upper right corner of the page to go to your Account Information
Select the View Shipment & Billing History button
On the Shipping History page, search for a specific order using a name, Team/Event Name, Address, Customer Order ID (e.g. IQ Job Number) or search for orders within a date range.
With your terms entered click Show Shipments or Download CSV
Show Shipments - displays all orders and order information (ship to, event name, tracking, order number and total, and shipping cost) within the specified date range that were shipped out along with the
Download CSV - will download a CSV of the information for use within your accounting software or to manipulate in excel
After clicking, you will be presented with the totals for the search terms entered and the specific results for each order
Click Download CSV to download a CSV of the information for use within your accounting software or to manipulate in excel
To calculate your total in Excel: Use the formula "=SUM(C3:C100000)" in a blank cell in the O column (increase the second number of the equation if you have more than 1000000 charges in column C)
Important notes on CSV Column headings:
Date Shipped - the date the order was shipped and billed from the lab, this will generally correspond to the total billed on the card on file with us
Line Item - the specific item that was charged (typically order ID or shipping)
Shipment Number - the ID number (not tracking) for the order(s) and shipment
Since multiple orders can be shipped within the same package, use the shipment number to cross-reference orders that are shipped together
Billed Amount - amount billed for particular line item
For example, orders that have shipped should have at least 2 billed amounts
one line item for order charges - listed as the Order Number
second line item for the shipping - listed as Shipping
Special Notes - Indicates reason for order price override
Customer Order ID - the order number listed in the software that submitted the order
ImageQuix Orders, the first 10 digits before the underscore are the JOB ID associated with the order and the last 7 are the specific IQ order number in the software
Team/Event Name - the Order ID entered for ROES order or the Project Name for FLOW orders
GotPhoto Orders - the Event Name contains the subject name on the order followed by the Job Name in Gotphoto (e.g. Sarah Wilson/BHS Tennis 2019)
ImageQuix Orders - Bulk orders contain the name of the job as listed in IQ and direct ship orders contain the name of the orderer as listed in the software
Excel Tips
Create a pivot table from your data to better view charges
Select your CSV in Excel
Select Insert -> Insert Pivot Table
On the Pivot Table tab add your fields to filters, columns, rows, and values
On Customer Order ID select the field settings -> Layout & Print -> Show items with no data
Customer Order ID can be changed with Team/Event Name to get a better view or removed altogether
